Privacy policy
How this website handles your information, and a summary of your rights under HIPAA.
Last updated January 2026
1. Who we are
Still Waters Counseling, LLC (“we”, “us”) operates this website. This policy explains what information the website collects, how we use it, and the choices you have. It is a general statement for website visitors; clients receive a separate, more detailed Notice of Privacy Practices under HIPAA at intake.
2. Information we collect
Information you give us. When you submit the contact or consultation request form we receive the details you enter — typically your name, email address, phone number, preferred contact method and a short message. Please do not include sensitive health information in these forms.
Information collected automatically. Like most websites we receive standard technical data: pages visited, approximate location derived from IP address, browser and device type, and the site that referred you. This is aggregated and used only to understand how the site is used.
3. How we use your information
- To respond to your enquiry and schedule a consultation.
- To operate, secure and improve this website.
- To meet legal, ethical and licensing obligations.
We do not sell personal information and we do not use it for advertising or marketing lists without your explicit consent.
4. Protected health information (HIPAA)
Once you become a client, information about your care is protected health information (PHI) under the Health Insurance Portability and Accountability Act. You will receive our full Notice of Privacy Practices, which describes how PHI may be used and disclosed for treatment, payment and health-care operations, the limited situations in which disclosure is required by law, and your rights to access, amend and request restrictions on your records. Web forms and ordinary email are not secure channels for PHI; we use an encrypted client portal for clinical communication.
5. How we protect information
Form submissions are transmitted over an encrypted connection and stored in access-controlled systems available only to our clinicians. We retain enquiry information only as long as needed to respond, or as required by law and professional record-keeping rules.
6. Sharing
We share information only with service providers that help us run this website (hosting, form processing), under agreements that restrict their use of it; or when required by law.
7. Your choices and rights
You may ask us to correct or delete the contact information you have sent through this site, or to stop contacting you, at any time. Depending on where you live you may have additional rights under state privacy laws. Email us and we will respond within 30 days.
8. Children
This website is intended for adults. We do not knowingly collect information from anyone under 18 through this site.
9. Changes
We may update this policy from time to time. The date at the top shows when it last changed.
